KIDZ CODE AI BOOKING CONDITIONS
When you make a booking with Kidz Code AI we enter into an agreement which is based on our booking conditions as well as other information contained within our online information and FAQs. It is important that we build a positive relationship, and we know what to expect from each other. You should have high expectations from Kidz Code AI, if things are wrong or we do not quite meet these expectations, for any reason, we will work hard to put things right – you can discuss your booking with our Customer Experience Team via phone 0172 753 0166 or admin@kidzcodeai.co.uk.
- PAYMENT TERMS AND BOOKING CONFIRMATION
1.1. The agreement between you and Kidz Code AI will commence when payment is made, in part or in full, and is when these booking conditions take effect from. The agreement is between Kidz Code AI and the person who made the booking, if this person is not the parent or guardian of the child(ren) attending then it is your responsibility to ensure they understand these booking conditions. Bookings made online, via phone or via email will be confirmed by email.
1.2. Your booking confirmation will include what you have booked, please check it, including the dates, location, and child details. Responsibility for all booking details lies with the person making the booking. Consumer Rights – as you are booking a service with specific dates, the 14-day cooling off period does not apply, however if your confirmation is not what you expected please tell us within 48 hours. We will change it if we can or refund you if we cannot.
1.3. Kidz Code AI accept payment by all major debit/credit cards via Stripe payment service which is a third-party quick payment method. Stripe’s privacy policy can be found on their website (https://stripe.com/gb/privacy)
1.4. Stripe payment plans allow you to either pay in one instalment or in two interest free payments. Missed payments can affect your ability to use our services.
- PRICING, DISCOUNTS & OFFERS
2.1 All current pricing is displayed clearly on the Kidz Code AI website and will indicate what our normal pricing before any discounts are applied.
2.2 We operate a dynamic pricing policy which calculates the price based on existing capacity at each location.
2.3 All discount codes must be applied at the time of booking and cannot be applied retrospectively.
3. 3. PROGRAMME & BOOKING AMMENDMENTS
3.1 We reserve the right to withdraw or substitute any of these services where we consider there are insufficient numbers to facilitate them.
3.2 Material changes may be necessary by reason of prevailing weather conditions, operational considerations and matters beyond our control. Accordingly, we reserve the right to make changes which are of a material nature and in such circumstances, we will inform you as soon as possible. In such event you shall have the following options: (a) to accept the change (subject to paying any additional charges in respect of any resulting variation in the price) in which case the contract shall be deemed as varied accordingly; or (b) to book a substituted programme using the credit for the price (or that part of the price attributable to the affected programme) which we shall provide to you; or (c) to cancel the booking or such part of the booking as is affected by a material change.
3.3 Without prejudice to any other right or remedy available to us we shall be entitled to cancel the contract without any liability in the following circumstances: (a) if you do not pay the price in full in accordance with the payment dates; or (b) if you fail to provide any information requested by us; or (c) if any of the circumstances specified in clause 4.2, 4.3 or 4.4 apply; or (d) if we in our sole discretion consider that the course is unsuitable for your child. In the event of cancellation under this clause 4.5 you will not be eligible for a refund of any monies owed. The date of cancellation shall be deemed to be the date upon which we provide you with notice of cancellation.
- YOUR RESPONSIBILITIES
4.1 You will be required to complete the ‘child information questions’ at time of booking or by logging into your account once booking has been made. This must be completed BEFORE we can accept your child at any course. We reserve the right to exclude any child arriving at class where completed child information questions have not been completed prior to their arrival at class.
4.2 Children will be required to ensure that their behaviour is compatible with the orderly conduct of activities and that minimal disturbance to other students is caused and children are always required to follow the verbal and/or written instructions of our staff.
4.3 During online 1:2:1 lesson, your child or you are not allowed to record or take pictures, you are responsible of ensuring that your child’s computer has the necessary software and computer security application installed. It is recommended that a parent/guardian supervise the child during the 1:2:1 online lesson.
4.4 You and your child shall always take such precautions as shall be necessary and/or as maybe reasonably required by us to prevent or restrict the spread of infectious or contagious diseases e.g., chicken pox, gastro enteritis, covid-19. In particular (and without limitation) you are required to advise us if your child has suffered from or been in contact with other persons or animals suffering from infectious or contagious diseases representing any threat to human health within the period of 4 weeks prior to the arrival date at class in which case we shall be entitled to cancel the booking of the child.
4.5 We reserve the right to decline to accept or to cancel any booking or exclude any child at any time prior to the arrival date or between the first date and the last date of the booking, if in our reasonable opinion the behaviour of that child is or may be disruptive, dangerous, inappropriate, or incompatible with the general enjoyment of other students. This may include when a child presents with a special educational requirement which was not disclosed prior to arrival. If we exclude a child, the parent will not be entitled to a refund for any unused portion of the programme.
Behaviour deemed inappropriate may include but is not limited to:
- Leaving the site unless accompanied by a member of our staff.
- Threatening behaviour including offensive or insulting language to other students or our staff.
- Suspected involvement with drugs or alcohol.
- Fostering an inappropriate relationship with another student.
- Wilfully leaving allocated areas without good reason.
- Inappropriate use of mobile phones, cameras, or video equipment.
- Theft, vandalism, or illegal activities.
- Inappropriate behaviour.
- Bullying (in any form) which adversely affects the enjoyment of other visitors.
- Injury to staff.
All children are expected to abide by these rules and conditions. You must arrange for your child to be collected as soon as reasonably possible from when we contacted you. Any additional costs so incurred shall be entirely your responsibility and you shall reimburse any costs incurred by us in connection with the exclusion of your child (to include costs of arranging alternative care and/ or transportation). A refusal to collect your child at the class request will result in a notification to the Head of Safeguarding who will follow the safeguarding procedures.
